1. Booking & Payment

• A non-refundable $250 deposit is required to secure your event date.

• The remaining balance is due no later than 7 days prior to the event.

• A valid credit or debit card must be kept on file for all bookings.

• By booking, you authorize Hill Country Sleepover to charge the card on file for any applicable fees, damages, or policy violations.

2. Security (Damage) Deposit

• A $75 refundable damage deposit is required prior to your event.

• This deposit will be returned within 5 days after pickup, provided all items are returned in original condition.

• Deductions may be made for damages, excessive cleaning, missing items, or policy violations.

3. Cancellations & Rescheduling

• All deposits are non-refundable.

• Rescheduling is permitted with at least 7 days’ notice, subject to availability.

• Rescheduling requests made less than 7 days before the event may incur a $100 rescheduling fee.

• No-shows or last-minute cancellations will result in forfeiture of all payments.

4. Setup, Delivery & Pickup

• Setup and styling are included in your package.

• Standard rental period is approximately 24 hours (overnight) unless otherwise agreed.

• A delivery fee may apply based on distance.

• A mutually agreed time will be scheduled for both setup and pickup.

• An adult (18+) must be present during both setup and pickup.

• If access is not available at the scheduled time, a $75 late fee may be applied.

5. Setup Requirements

• The designated setup area must be: Cleared of furniture, clean and ready upon arrival

• Hill Country Sleepover staff do not move furniture.

• We reserve the right to refuse setup without refund if the space is not prepared, unsanitary, or unsafe.

6. Use of Equipment

• All items must remain indoors unless otherwise approved.

• Setups must not be moved, altered, or disassembled after installation.

• Jumping, standing, or excessive weight on beds is strictly prohibited.

• No candles, heat sources, or sharp objects may be used near rental items.

7. Prohibited Items & Activities

To protect our equipment, the following are strictly prohibited on or near setups:

• Food or drinks

• Makeup or self-tanner

• Nail polish

• Slime, paint, markers, or craft supplies

• Pets

Violation of this policy will result in automatic cleaning or replacement fees.

8. Damages, Cleaning & Replacement Fees

• Clients are responsible for all damages beyond normal use.

• Fees may include (but are not limited to):$50+ cleaning fee for stains (makeup, food, etc.) $75+ replacement fee per item if damage is irreversible Additional charges for missing or heavily damaged items

• Pet hair or evidence of pets on equipment will result in a minimum $40 cleaning fee.

• All fees will be charged to the card on file.

9. Client Responsibility

• The client assumes full responsibility for all guests and use of rental items.

• Children must be supervised at all times.

• Hill Country Sleepover is not responsible for accidents, injuries, or damages during the event.

10. Liability & Indemnification

• Hill Country Sleepover is not liable for any injury, loss, damage, or expense arising from use of rental equipment, except in cases of proven negligence.

• By booking, the client agrees to indemnify and hold harmless Hill Country Sleepover from any claims, damages, or liabilities.

11. Right to Refuse Service

We reserve the right to refuse, cancel, or terminate service without refund if:

• The environment is unsafe, unsanitary, or contains smoke odor

• Conditions may damage equipment

• Staff safety is at risk

• Policies are violated

12. Access & Safety

• Clients must ensure safe and reasonable access to the setup location.

• Pets and children must be secured during setup and pickup.

• We reserve the right to decline service in locations that pose safety concerns.

13. Photography & Marketing

• Hill Country Sleepover may photograph setups for promotional use.

• No personal or identifying client information will be shared without consent.

14. Pricing

• Prices are subject to change; however, confirmed bookings will always honor the agreed rate.

15. Agreement

By booking with Hill Country Sleepover, you acknowledge that you have read, understood, and agreed to all Terms & Conditions outlined above.
